When custom software makes sense, and when it does not

Custom software usually costs more up front than a subscription and needs maintaining, so it has to earn its place. If an existing tool already does most of what you need, adapting your process to it is often cheaper, and we will tell you so.

Custom work makes sense when your process is what sets you apart, when your tools cannot share data, or when staff spend hours each week moving information by hand. Discovery tests this before you commit.

    A vague brief lets everyone imagine a different product. We write the specification down, including what the software will not do, and you approve it first.

    Small additions add up. Any change after approval is quoted in writing, and you decide whether it is worth it before we start.

  • Underestimated data and integrations

    Inconsistent spreadsheets and poorly documented APIs are common causes of delay. We inspect real data samples and test API access during discovery, not halfway through the build.

  • No one available to decide

    Projects stall when nobody can approve a screen. We ask you to name one decision-maker and agree review times.

Ownership

Your accounts, your code, your data

Hosting, cloud, domain and third-party accounts are opened in your company’s name and paid for directly by you. We work through access you grant and can remove at any time.

The source code is kept in a repository your business controls, with handover notes another developer could work from. Ownership of the code, and which third-party components keep their own licences, is set out in your proposal and project agreement before work starts.

How custom software is priced

There is no starting price, because two projects with the same name can differ greatly in effort. You receive a fixed price for the agreed specification, and larger projects are split into separately priced phases.

Questions about custom software

How much does custom software cost?

It depends on the number of user roles, screens and integrations, and on how much existing data needs moving. We give a fixed price once the specification is written, not a guess from a one-line brief.

If your budget is fixed, say so in the quote form and we will tell you what a realistic first phase could cover.

Can you work with the systems we already use?

Usually, if the system offers an API or a reliable data export. During discovery we check its documentation, access rules and any usage limits or fees. If a tool cannot connect, you hear that before you commit.

How long does a custom software project take?

Your proposal gives an estimated schedule for each milestone rather than a single figure. It starts once the specification is approved and assumes reviews come back within the agreed time.

What happens after launch?

Software needs security updates, and changes when the services it connects to change. Support can be agreed as a separate monthly arrangement listing its tasks, or your own developers can take over. If you also need a companion app, see mobile app development.
