Privacy Policy

Who we are

Agency Dubai is a digital agency serving businesses in Dubai and the UAE. We decide how and why the personal data described in this policy is used, and we are responsible for it.

What we collect through the quote form

When you submit the quote form, the following reaches us by email:

• Your name and email address
• Your company name and current website, if you give them
• The service you need, your project summary and your desired launch timeframe
• Your budget range and your phone or WhatsApp number, if you give them
• Your confirmation that you have read this policy
• The package you selected, if you arrived from a package link, the page you sent the form from, and the date and time you sent it

Please do not send sensitive data

We do not need sensitive personal data to prepare a proposal. Please do not include passwords, ID or passport numbers, health information, or bank account and card details in the form. If the project goes ahead, we arrange access to any accounts separately.

If your message includes details about another person, please make sure they are happy for you to share them with us.

Technical data

When you send the form, our server uses your IP address to limit repeated submissions and to block automated spam. The address is held only temporarily in the server’s memory for this check. It is not included in the enquiry email and is not stored with your enquiry.

So that the automatic confirmation email cannot be used to flood someone’s inbox, the server also keeps a scrambled (hashed) form of the email address you enter in its memory, and sends no more than one confirmation to the same inbox in 24 hours. This is not stored with your enquiry either.

Like most websites, our web server keeps standard logs of each request, such as the IP address, the date and time, the page requested and the browser type. We use these logs only for security, troubleshooting and preventing abuse, and they are deleted automatically within 30 days.

The quote form’s activity log records only technical events, such as whether an email was sent. It never includes your name, email address, phone number, IP address or project summary.

Why we use your data

We use the details you send us to:

• Read and reply to your enquiry, including emailing you any questions
• Prepare and send a written proposal, if you asked for one
• Send you one automatic email confirming that we received your enquiry
• Keep a record of our correspondence, in case you go ahead or contact us again
• Protect this website and the form against spam, abuse and security threats

Our basis for using your data

We use your details because you asked us to. Sending the form is a request for us to contact you about your project, and by ticking the privacy box you agree to us using your details for that purpose. You can withdraw that agreement at any time, as described under ‘Your rights’. Withdrawing it does not affect anything we did before, but it does mean we can no longer prepare a proposal for you.

We use technical data because it is needed to keep the website secure and working.

Apart from the automatic spam checks on the form, we do not use your data for automated decision-making or profiling. Where applicable data protection laws give you further rights or protections, those apply in addition to this policy.

Who can see your data

Your enquiry is seen only by the people at Agency Dubai who handle enquiries and, if you go ahead, by the people who work on your project.

Our service providers also process data for us: our email provider, which delivers your enquiry to our inbox and stores our correspondence, and the hosting and network providers that run and protect this website and keep its server logs. They process it to provide those services to us, and their servers may be located outside the UAE.

We do not sell, rent or trade your data, and we do not share it with advertisers or data brokers. We would disclose it to a public authority only where the law requires us to.

No marketing emails

Sending the form does not add you to a mailing list, and we do not send marketing emails. The automatic confirmation after you send the form is a one-off service message about your enquiry, and our replies are personal emails about your project.

We will not start sending you marketing emails unless you give separate consent for them.

How long we keep your data

We keep personal data only for as long as we need it:

• Enquiries that do not lead to a project: deleted, together with our correspondence about them, within 12 months of our last contact with you
• Clients: contact details and project correspondence kept while the project and any ongoing work continue, then for as long as we need them for legal, tax and accounting records
• Web server logs: deleted automatically within 30 days
• IP addresses and hashed email addresses used for spam and abuse checks: held only temporarily in the server’s memory
• Any enquiry: deleted sooner if you ask us to, unless the law requires us to keep it

Your rights

You can ask us to:

• Confirm whether we hold personal data about you and give you a copy of it
• Correct details that are wrong or incomplete
• Delete your data
• Stop using your data, or withdraw your agreement to us using it

Making a request

Contact us as described in the last section of this policy. We may ask you to confirm your identity first, for example by writing from the email address you used in the form. We will respond without undue delay and tell you if any data has to be kept because the law requires it.

You may also have the right to complain to the data protection authority that applies to you.

How we protect your data

This website uses HTTPS, so what you type into the form is encrypted between your browser and our server. The form has spam and abuse protection, and access to enquiries is limited to the people who need it.

No website or email system is completely secure, but we take reasonable steps to protect your data. If we become aware of a breach that affects it, we will act promptly and inform you where the law requires.

Cookies

The pages of this website and the quote form work without cookies, and we do not use advertising or cross-site tracking cookies.

We set no cookies unless website analytics is switched on and you accept analytics cookies in the notice we show you. When analytics is switched on, this policy includes a section called ‘Cookies and analytics’ that explains the notice, lists the cookies and tells you how to change your choice. If that section is not shown, no cookies are set and nothing is stored in your browser.

Children

This website and our services are intended for businesses. We do not knowingly collect personal data from children. If you believe a child has sent us their details, please contact us and we will delete them.

Changes to this policy

If we change how we handle personal data, we will update this page and the date at the top. We will not use data you have already sent us for a new purpose without telling you first.
